Email verification for colleges and universities

Admissions, student services and advancement all email from the institution's domains, to audiences that change addresses at predictable moments: applicants type a personal address on a phone, students get an institutional one, and graduates lose it. Verification fixes typos at the form and checks each list before the big sends of the academic year.

  • Nothing is sent to the inbox
  • Catch-all and unknown are free

Where bad addresses come from

  • Inquiry and application forms

Prospective students fill in forms on their phones, often quickly; a mistyped address means they miss the next step of their application.

  • College fairs and campus events

Handwritten cards and event sign-ups, typed in later, carry the most typos of any source.

  • Graduation

Institutional addresses are usually closed some time after a student leaves. Alumni records that still hold them stop working, just when advancement wants to stay in touch.

  • Decentralised departments

Each office keeps its own lists. One department mailing an old list can hurt delivery for every other office sending from the same domain.

Where to verify, and what to do with the answer

WhereHowWhat to do
Inquiry and application formsReal-time API checkOffer the suggested typo fix for typos and ask for another address when the result is invalid or disposable.
Event and college-fair listsBulk check after the event, before importing into your CRMImport only addresses that are not invalid; fix obvious typos by hand.
Applicant and admitted-student lists before decision release and orientationBulk checkContact students with invalid addresses another way before the deadline-driven emails go out.
Alumni and donor lists before a campaignBulk check of the segment you will mailReplace closed institutional addresses with personal ones where you have them; send catch-all addresses in smaller batches.

Real-time checks use the email verification API; lists go through bulk verification (CSV or Excel, up to 500,000 addresses per file).

What to watch for in the results

  • Your own institutional addresses

Closed student or staff accounts at your own domain come back invalid once the mailbox is removed. That is a useful signal to look for a personal address in another record.

  • Mail systems that answer every check the same way

Some institutional and corporate mail systems accept any address or hold their answer back. Those come back catch_all or unknown and are free; they are not the same as invalid.

  • Personal addresses for applicants

Applicants use Gmail, Outlook.com and similar providers. They are flagged as free providers, which is expected here and no reason to reject them.

Every result comes with a quality to act on: good (send), risky (catch-all or unknown) or bad (invalid or disposable), plus a 0-100 risk score and the reason behind it. Read how catch-all detection works.

What it costs

Checking an alumni segment of 50,000 addresses needs at most 50,000 credits: $75 at pay-as-you-go prices, about $0.0015 per address. Only definite answers (valid, invalid or disposable) use a credit; catch-all, unknown and error results are free, so the same pack often covers more. Credits never expire.

Questions from colleges and universities

Can we verify addresses exported from our admissions CRM?

Yes. Export a CSV, upload it, and download the results with your original columns plus the verification result, ready to import back.

Do applicants or alumni receive anything?

No. The check stops before any message is sent; nothing reaches their inbox.

Should we verify before every alumni campaign?

Before every campaign to a segment that has not been emailed recently. Alumni addresses age faster than any other list an institution holds.

Is it acceptable to upload student data?

Only the email address needs to be uploaded for verification. Check with your institution's privacy or data protection office before sending student records to any outside service.
