Privacy Policy
Last updated: 26 June 2026
This Privacy Policy explains how Prime Verifier (“Prime Verifier”, “we”, “us”, or “our”) collects, uses, shares, and protects information when you visit primeverifier.com (the “Site”), create an account, or use our email verification and list cleaning services, the API, and any related tools (together, the “Services”).
Prime Verifier is operated by Nexaris Inc, registered in Texas with its registered office at 5900 Balcones Drive, Austin, TX 78731-4257. If you have any questions about this policy or how we handle your data, contact us at [email protected].
By using the Services, you agree to the practices described here. If you do not agree, please do not use the Services.
1. The two roles we play
Email verification involves two very different kinds of data, and the law treats them differently. We want to be clear about which is which.
Account Data. This is information about you as a customer or visitor: your name, email address, company, billing details, and how you use the Services. For this data we act as the data controller. We decide why and how it is processed, and this Privacy Policy governs it.
Verification Data. This is the email address data you submit to be checked, whether through a single lookup, a bulk upload, or an API call. For this data we act as a data processor on your behalf. You are the controller. You decide what to submit and why, and you are responsible for having a lawful basis to process it. We only handle Verification Data to deliver the result you asked for, and we never use it for our own marketing, profiling, or resale. Section 5 explains how we treat Verification Data in detail.
If you sign a Data Processing Agreement (DPA) with us, that agreement governs our handling of Verification Data and takes priority over this policy where the two overlap. A DPA is available on request at [email protected].
2. Information we collect
- Account and profile information. When you register, we collect your name, email address, company name, password, and any details you choose to add to your profile.
- Billing information. When you buy credits or subscribe to a plan, our payment processor collects your payment card or billing details. We do not store full card numbers on our own servers. We retain records of transactions, invoices, plan, and credit balance.
- Usage and account activity. We record how you interact with the Services: verifications performed, jobs run, API requests, credits used, login times, and feature usage. This helps us bill accurately, detect abuse, and improve the product.
- Technical and device data. We log IP addresses, browser type, device and operating system, referring pages, and timestamps. This is standard server and security logging.
- Cookies and similar technologies. The Site uses cookies and similar technologies as described in our Cookie Policy.
- Support and communications. If you contact support, respond to a survey, or email us, we keep that correspondence and any information you include in it.
- Verification Data. The email addresses and any associated fields you submit for verification, whether by single check, bulk file, integration, or API. See Section 5.
3. How we use Account Data
We use Account Data to:
- Provide, operate, and maintain the Services.
- Create and manage your account and authenticate you.
- Process payments, manage credits, and send invoices and receipts.
- Respond to support requests and communicate with you about your account.
- Monitor usage, prevent fraud and abuse, and enforce our Terms of Service.
- Send service messages such as security alerts, billing notices, and changes to our terms. You cannot opt out of these, since they relate directly to your use of the Services.
- Send product updates, offers, and marketing where you have agreed to receive them. You can opt out at any time using the unsubscribe link or by emailing [email protected].
- Analyze and improve performance, accuracy, and reliability, and develop new features.
- Comply with legal obligations and protect our rights.
Legal bases (for users in the EEA, UK, and similar regimes)
Where data protection law requires a legal basis, we rely on one or more of the following:
- Contract. To deliver the Services you have signed up for and to bill you.
- Legitimate interests. To secure the platform, prevent abuse, understand usage, and improve the product, in a way that does not override your rights.
- Consent. For optional marketing and for non-essential cookies. You can withdraw consent at any time.
- Legal obligation. To meet tax, accounting, and other legal requirements.
4. How we share information
We do not sell your personal data, and we do not sell or rent Verification Data to anyone. We share information only in the situations below.
- Service providers (sub-processors). We use trusted vendors to run the Services, including cloud hosting and infrastructure, payment processing, email delivery for our own notifications, analytics, and customer support tooling. They may process data only on our instructions and under contract, and only to the extent needed to perform their function. A current list of sub-processors is available on request.
- Integrations you connect. If you connect a third-party tool such as Mailchimp, HubSpot, Klaviyo, Salesforce, or Zapier, data flows between Prime Verifier and that tool as you direct. Your use of those tools is governed by their own terms and privacy policies, not ours.
- Legal and safety. We may disclose information if required by law, court order, or regulator, or where we believe in good faith that disclosure is needed to protect our rights, your safety, the safety of others, or to investigate fraud or abuse.
- Business transfers. If Prime Verifier is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction. We will continue to protect it and will notify you of any material change in how it is handled.
5. How we handle Verification Data
Verification Data deserves its own section because it is the most sensitive thing you trust us with, and because we built the platform to hold onto as little of it as possible.
- Purpose limitation. We process Verification Data only to perform the checks you request: syntax, domain and mailbox validity, catch-all detection, disposable and role detection, and AI risk scoring. We do not use it to build marketing lists, train models for unrelated purposes, sell data, or enrich profiles.
- Storage and retention. Single API verifications are processed in real time and are not retained as a stored list. For bulk jobs, we hold the uploaded file and the results for up to 15 days so you can download them, and they are then deleted automatically. You can delete a bulk file and its results from your account at any time before then, and we honor deletion requests promptly. We do not keep your verification lists after they have served their purpose.
- No reuse across customers. Verification results for one customer are not shared with or reused for another customer.
- Encryption. Verification Data is encrypted in transit and, where stored temporarily for a bulk job, encrypted at rest.
- Your responsibility as controller. You confirm that you have the right to submit the email data you upload and a lawful basis to have it verified. You remain responsible for notifying your own contacts and for honoring their rights, as your local law requires.
6. International data transfers
Prime Verifier operates globally, and the Services may be delivered using infrastructure in more than one country. Where we transfer personal data across borders, including to countries that may not provide the same level of protection as your own, we put appropriate safeguards in place. These include Standard Contractual Clauses or other recognized transfer mechanisms. If you require processing in a specific region, contact us at [email protected] to discuss available options.
7. Data retention
We keep Account Data for as long as your account is active and for a reasonable period afterward, to meet legal, tax, accounting, security, and dispute-resolution needs. When data is no longer needed, we delete it or anonymize it. Verification Data is retained only as described in Section 5. If you close your account, we delete or anonymize your personal data within a reasonable period, except where we are required to keep certain records by law.
8. Security
We protect data with technical and organizational measures appropriate to the risk, including:
- Encryption of data in transit and at rest.
- Access controls and the principle of least privilege.
- Per-API-key controls, including IP allowlisting.
- Audit logging of account and administrative activity.
- Regular review of our infrastructure and vendors against recognized security standards.
No method of transmission or storage is completely secure. We work hard to protect your data, but we cannot guarantee absolute security. Keep your password and API keys confidential, and tell us immediately if you suspect any unauthorized use of your account at [email protected].
9. Your rights
Depending on where you live, you may have some or all of the following rights over your personal data:
- Access a copy of the data we hold about you.
- Correct inaccurate or incomplete data.
- Delete your data, subject to legal exceptions.
- Restrict or object to certain processing.
- Receive your data in a portable format.
- Withdraw consent at any time, where we rely on consent.
- Opt out of marketing communications.
To exercise any of these rights, email [email protected]. We will respond within the timeframe required by applicable law. We may need to verify your identity before acting on a request. If you are in the EEA or UK and believe we have not handled your data properly, you have the right to complain to your local data protection authority, though we hope you will contact us first so we can put things right.
If you are a California resident, you may have additional rights under the CCPA and CPRA, including the right to know what personal information we collect, the right to deletion, and the right to opt out of any sale or sharing of personal information. We do not sell personal information. To exercise these rights, contact [email protected].
10. Children
The Services are built for businesses and are not directed to children. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, contact us and we will delete it.
11. Third-party sites and tools
The Site and the Services may link to or integrate with third-party websites and tools. We are not responsible for their content or privacy practices. Review their policies before sharing data with them.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the date at the top and, where appropriate, notify you by email or through the Services. Your continued use of the Services after a change takes effect means you accept the updated policy.
